Teacher Attendance

Full-Day Absence
Teachers who will be absent should call the District Sub-finder (see below for more information on the District’s Sub-Finder) as soon as possible between the hours of noon of the day prior to the absence and 7:00 a.m. the day of the absence. This notification is an automatic request that a substitute be sent to the school. Any cancellation of a substitute must also be placed on the recorder before 6:00 a.m. of the day of absence. In addition, the teacher must notify the School Administrative Assistant (SAA), Main Office clerk or an administrator by 7:20 a.m. of the absence and the time the substitute was requested. DO NOT LEAVE A MESSAGE WITH A STUDENT!

If the absence is for one day only, inform the SAA of your intent to return. If more than one day of absence is anticipated, notify the SAA no later than 2:00 p.m. In the event the teacher fails to notify the school that s/he will be returning the following day and the substitute is held over, the substitute will be paid for the day and the regular teacher will lose a day of substitute coverage time.

Upon returning, complete a Certification of Illness or Injury, Bereavement or Personal Necessity form, depending on the type of absence. If an illness absence is five days or longer, a physician must also sign the Certification of Illness or Injury form.

Teachers are requested to inform the SAA as soon as possible if they may be late so that coverage can be provided in a timely fashion.

When a teacher is absent, roll sheets, seating charts and lesson plans must be available for substitute teachers. When a teacher knows in advance about the absence, lesson plans may be left in the classroom for the substitute. When the absence is unplanned, emergency lesson plans must be on file with the SAA in the Main Office. Emergency Lesson Plans should be updated regularly (see below for more information on Emergency Lesson Plans).

Partial-Day Absence
Request for partial day absence/coverage puts an additional burden on faculty members who have to cover classes. Also, we must cover for athletic events, Field Trips, District meetings, and District staff Development meetings, etc.

The following procedures are to be followed by faculty members in non-emergency situations:

  1. Forms are located in the main office.
  2. Request submitted to Ms. Bozanich or Ms. Eastridge in the main office.
  3. Approval of an administrator

Daily Hours
According to the UTLA/LAUSD agreement, teachers must sign in ten minutes prior to the beginning of first period (i.e., 7:50 am). Classrooms are to be opened by teachers by the ringing of the first bell. Teachers may not sign out earlier than three minutes after the last period of the day (i.e., 3:10 pm).

Teachers are expected to keep Tuesday afternoons available for faculty, department, and other important meetings.

Teachers are expected to remain on the school grounds during the regular teaching day. Teachers who need to leave campus for any reason must sign out in the Main Office when leaving the site and sign in upon their return. Teachers may leave the school grounds during their regular 30-minute duty-free lunch, but are still requested to sign out and in for safety purposes.

Signing In and Out
According to LAUSD regulations, all staff must sign-in upon arrival and sign-out upon departure each day. Signing cards in advance and telephone calls to the Main Office indicating a staff member’s presence on campus are not acceptable.

Sign-in cards are located in the Main Office and are arranged in numerical order according to employee number, from lowest to highest. The sign-in card is a legal document for payroll purposes and must be signed by staff each pay period.

Leaving School Grounds
The office must know the whereabouts of each staff member during the entire school day. Anyone who needs to leave the campus for any reason must have prior approval from the principal or the principal’s designee and sign out in the main office

Sub-Finder
On September 18, 2000 the Los Angeles Unified School District took a major leap forward with the activation of the Sub-Finder automated substitute request and assignment system. You can call Sub-Finder to review, create and cancel absences and jobs, and to modify preference lists.

  • You should call in and register before reporting your first absence.
  • Remember, Sub-Finder only works from touch-tone telephones!
  • When reporting an absence, always wait for the Job Number before disconnecting or the absence may not be recorded
  • The Job Number is your confirmation that Sub-Finder has accepted your absence. You will also need this number if you need to cancel the absence.
  • Call Narbonne and give the Main Office personnel the pertinent information concerning the absence including the JOB NUMBER. The Main Office will open at 7:00 A.M.
  • Upon returning to school it is the teacher's responsibility to complete a certification of absence card and return it to the payroll clerk immediately.
  • If it is necessary for you to extend your absence:
    • Telephone the school by 2:00 p.m.

IF YOU CALL FOR A SUBSTITUTE AND THEN DECIDE TO COME TO WORK THE SUBSTITUTE HAS THE RIGHT TO WORK AND YOU MAY BE SENT HOME.

Substitute Folders/Emergency Lesson Plan

  • Lesson plans will be prepared in advance for use in an emergency absence.
  • Emergency lesson plans must be kept in the classroom. They must be kept in a location that is accessible to the substitute.
  • Teachers must periodically update lesson plans.
  • Seating charts and other important information, such as emergency procedures and bell schedules, are also kept in the substitute folder.
